Modify Mail Exchanger (MX Entry)

Mail Manager allows users to access their mail through cPanel and change critical settings quickly and easily. There are numerous categories that appear after clicking Mail Manager, including web mail, email domain forwarding, add/remove accounts, default address, auto responders, email filtering, forwarders, mailing lists, Spam Assassin, BoxTrapper Spam Trap, trace an e-mail address, and modify mail exchanger.

Web Mail

Clicking on web mail will prompt you to choose between three web mail providers.

Click on your web mail provider to access your mail. After clicking on any of the three choices, you will be prompted to input your username and password.

Email/Domain Forwarding


Domain forwarders redirect all mail from one domain to another domain. This means that if you have two accounts, name@up.com and name@down.com, and have name@up.com pointing to name@down.com, that means all mail will be sent to name@down.com. To add an email/domain forwarder, simply click "add domain forwarder" and type in which email you would like mail to be forwarded to on your account.

Add/Remove Account

You can remove or add webmail accounts through cPanel using this menu. After clicking add/remove accounts, you will be able to view all the accounts you currently have and how much disk space they use. Click on "add account" to add a new webmail user.

Here you will have several fields and be able to assign an address, password, and a quota of how much disk space the email account is allowed to use. This is a critical step because leaving it at 0 will allow unlimited disk space to be used and may risk using up your allotted space. Be wary of using too much space because it may affect your website. The amount of space provided is measured in megabytes.

Once an account is created, you can configure Outlook to work in conjunction with your webmail account by clicking the "configure Outlook" option next to your account. What will follow is a simple point and click automated setup.

Default Address

This is where you can redirect any email to be routed to another account if it doesn't have a designated email box.

Auto-Responders

Auto-responders are useful if you plan on being out of the office for an extended period of time. Responders will automatically reply to all emails sent to a specific email address with a message that is prepared ahead of time.

After clicking on "add auto-responders," you will be directed to a screen with several field options where you can select the email you want to configure, who the mail will be from, the subject, whether or not you want html enabled, and a body box where you can type your message.

To remove your auto-responder, simply enter the auto-responder maintenance screen and click on delete.

Email Filtering

Email filtering allows you to setup parameters that automatically sort your mail. This cPanel tool is useful for filtering spam and other annoyances into the trash. To add a new filter, click on "add filter" and you will be directed to a screen that allows you to sort mail using several variables.

Here you can filter mail by subject, who it's from, to, or any other headers. Spam assassin can also be used in conjunction with mail filtering with more accurate filtering. Be careful of what parameters you use and be sure to check spam just in case an important email gets filtered into the trash.

After activating your filter, you can test it by going to the previous page, entering a faux email address, and clicking "test filter."


Forwarders

Forwarders enable you to send a copy of all mail from one address to another. It functions in the same way as email domain forwarding, except instead of forwarding all mail from a particular domain; you are sending mail from one inbox to another.

A person with many email addresses can consequently have one inbox but multiple addresses, effectively creating a central location for all viewable mail.

If there are several people working together and need to share email an inbox, emails can be forwarded to multiple addresses. For example:

Workgroup1@domain.com > worker1@domain.com
Workgroup1@domain.com > worker2@domain.com
Workgroup1@domain.com > worker3@domain.com

Mailing Lists

The mailing list manager is a tool that is useful for setting up and managing mailing lists. Mailing lists are useful for individuals who are looking to send out a newsletter or regular emails to a specific group of people. Click on "add mailing list" and add the name of the list, password, and the domain you want it added under.

Spam Assassin

Spam Assassin is a piece of software you can enable from your cpanel. Spam Assassin does not delete any emails by default, but filters them to various locations on your email account. If you want mail to be automatically deleted click the "AutoDelete Spam" button.  Choose a score number.  The default is 5. Lower numbers are more agreessive ie. more spam will be stopped.

Or you can choose to have spam saved in a spam box. To do so, click the "Enable Spam Box" button. This will move spam to the 'Junk' folder in your webmail.

When you click the "Configure Spam Assassin" button, you will be brought to a screen with several parameters. These parameters will determine how rigorous and unforgiving Spam Assassin will be to spam messages or what it interprets to be spam. Let's go through the list of fields and explore what each one means.

Blacklist_from: Here you can blacklist up to five messages which will prevent any mail from those origins to get through to your inbox.

Whitelist_from: If you see that Spam Assassin is filtering mail that is not spam, the whitelist will allow Spam Assassin to distinguish it apart from spam and filter it properly. If you want to single out email from an entire company, just type in *@domain.com instead of typing in an individual address.

Required_score: This field determines how many hits it will take from a particular address in order to be considered spam. The lower the number, the sooner it will be viewed as spam.

Rewrite_header subject: Sets the text that will be added to the header subjects of all messages identified as spam.

Score: Assign scores to a given test performed by Spam Assassin.

Click on the "save settings" when you are finished with your configuration.

Box Trapper

Box Trapper is a utility that allows you to require email verification for anyone not on your whitelist. Any mail address that isn't on the whitelist will be required to validate that they are not a spammer and is useful for preventing automatic mailings from reaching your inbox.

Under the Box Trapper menu will be any email accounts and whether Box Trapper is activated or disabled. To manage and configure the Box Trapper settings of each account, click manage.

Configure Settings: This is where you can activate Box Trapper on multiple accounts by inserting the emails separated by a comma. If an email is stopped by Box Trapper, you can set how many days the email is held for as well as automatic whitelisting.

Edit Confirmation Messages: These are the messages that will be sent for verification, blacklisting, and whitelisting. To edit the message sent to recipients click edit and a text box will appear where you can edit the message settings. The commands %email%, %subject%, and %headers% are generic variables put into place and will take the shape of the relevant email, subject line, and headers respectively.

Edit Forward/White/Black/Ignore Lists: This is where a user can edit the various email lists that have fallen into one of these four categories. If an email is accidentally added to an inappropriate list you can manually add or remove it to another list.

Simply click edit list and a text box with all the relevant emails will be available. Be sure to click save once you are done managing the email list.

Review Log: Emails are listed by the date they have been evaluated by Box Trapper. You can change how long the logs are kept for under the configuration settings.

Review Queue: The review queue is where you can evaluate which emails get whitelisted and which are blacklisted. Each list is sorted by date and you can choose to delete or whitelist the email addresses of your choice.

Enter an email address to see the delivery path.

Modify Mail Exchanger (MX Entry)

Here is where you can edit the Mail Exchanger Record. This specifies how internet e-mail should be routed using Simple Mail Transfer Protocol. An MX record contains a preference and a host name, thus if you change your MX to something besides your domain, it will prevent cPanel from managing your mail. It will no longer be sent to that server. Only edit these settings if you know what you wish to accomplish in regards to which server your email travels to after an edit.
